Change Groups of Objects

The module Object groups of the BeeCollect Toolbox provides the option to change central data for a group of collection objects. This includes information on artists, financial values, dimensions and collection areas. You can also export all thumbnails for a group of objects.

If you want to assign the same financial values, dimensions, artists or collection areas to a number of collection objects, or if you need the preview images for several objects, - each of these tasks can be performed very easily using the Object group module.

The module uses object groups that were created and filled with objects in MuseumPlus. This can be done quite easily with the search function in MuseumPlus. Subsequently, the actual mass data change can be made in the BeeCollect Toolbox.

Select objects

To define the objects which should be changed

The first step to change multiple objects at the same time is to merge them into an object group in MuseumPlus. However, the module Object group in MuseumPlus offers only limited possibilities to change several objects at the same time. These include, for example, changing the current location or contents in simple or multiple fields.

In order to use the significantly more powerful functions of the BeeCollect Toolbox, the existing object group must first be opened in the module Object groups of the Toolbox. To do this, please proceed as follows:

  1. On the right side of the search area of the module Object group, enter a suitable search term, e.g. the name of the object group in the field Full text, and then click the Start search button.
  2. In the list of search results, click the desired object group.

The selected candidate is now displayed in the workspace of the Object group module.

On the basis of the open object group, you can now decide for all subsequent actions whether the changes should affect only selected or all elements of the object group.

Add Artists/ Participants

To assign a new participant to multiple collection objects

The module Object group allows you to assign the same artist to multiple objects at the same time. To add the same artist or participant for all selected objects of the open object group, proceed as follows:

  1. Click the Add artists button below the object list.
  2. In the newly expanded area, click the button with the magnifying glass icon to the right of the field Artist / participant.
  3. In the appearing dialog box Search Artists / participants, enter appropriate criteria in the fields First name and Last name
  4. Klicken Sie auf die Schaltfläche Search, um die vorbereitete Suche zu starten
  5. Markieren Sie in der Liste der Suchergebnisse den gewünschten Beteiligten.
  6. Bestätigen Sie Ihre Auswahl,  indem Sie auf die Schaltfläche OK klicken.

The selected participant is now stored in the field Artist / participant.  

You also have the opportunity to define essential properties of the relationship between the selected participant and the selected target objects. To do this, the following fields are available under the field Artist / participant:

  • Role
    In this field, you can specify the type of reference that exists between the selected participant and the object assigned to it (e.g., "execution" or "copy after").
  • Function
    In this field, you can specify the function the selected participant applies with respect to the associated object (e.g., "Painter" or "Sculptor").
  • Source
    In this field, you can store the source of the assignment made.

To ensure that the prepared assignment between the selected objects and the desired artist is also carried out in the MuseumPlus database, click the OK button at the bottom right of the workspace.

Assign values

To insert the same financial values for several objects.

The module Object group allows you to assign financial values for multiple objects at once. To add the same value for all selected objects of the open object group, proceed as follows:

  1. Click the Add Values button right below the object list.
  2. Specify the type of the value (for example, "insurance value") in the field Type of the extended input area.
  3. In the Date field, document the beginning of the validity of the specified value.
  4. Enter the amount in the field Value and the desired currency in the field to the right of the Value field.
  5. If needed, use the field Value (foreign curr.) to enter the amount converted into a relevant foreign currency and use the field to the right of the field Value (foreign curr.) to specify the corresponding currency. 
  6. Optionally, in the Notes field, leave a comment on the current value entry.
  7. In the check box Replace existing value, define whether already existing values of the same value type in MuseumPlus are to be replaced by the current value entry.
  8. Click the OK button at the bottom right of the workspace to transfer the prepared values to the MuseumPlus database.

The values are now stored in the selected objects in MuseumPlus.

Add dimensions

To assign the same dimension input to several objects

The module Object group allows you to assign a dimension input to multiple objects at once. To add the same dimension for all selected objects of the open object group, proceed as follows:

  1. In the Type field, specify the dimension type (for example, „frame size“).
  2. In the Order field, define the desired sorting code for the current dimension entry.
  3. If needed, enter a note in the Prefix field which should appear before the measured values.
  4. Enter the measured values in the number fields of the Dimension line.
  5. Select the appropriate unit of measure (e.g., "cm") from the word list field at the right-hand side of the Dimension line.
  6. If required, enter a note in the Suffix field which should appear after the measured values.
  7. Click the OK button at the bottom right of the workspace to transfer the prepared dimension input to the MuseumPlus database.

The dimension input is now stored in the selected objects in MuseumPlus.

Change collection area

To move multiple objects to the same collection area at the same time

The module Object group allows you to assign several objects at once to a new collection area. To move all selected objects of the open object group to a new collection area, proceed as follows:

  1. Click the Change collection button just below the object list.
  2. Select the collection area to be reassigned in the list field Select new task of the extended input area.
  3. Click the OK button at the bottom right of the workspace to transfer the prepared change into the MuseumPlus database. 

The move to the new collection area is now carried out with the selected objects in MuseumPlus.

Export Thumbnails

To export the preview images for a group of objects

You can use the module Object groups to export the preview images of multiple objects. To copy the preview images of the selected objects to a directory, proceed as follows:

  1. Click the Export thumbnails button directly below the object list.
  2. Click the button with the folder icon to the right of the field Destination folder.
  3. In the explorer window that appears, select the desired target directory and confirm your selection with OK.
  4. Click the OK button at the bottom right of the workspace to transfer the preview images to the selected destination directory.

The preview images of the selected objects are now transferred to the specified export directory.
